Lessons Learned from SAP Cloud ERP Customer Projects: First-Hand Insights for Finance and IT

Topic: AP Automation | S/4HANA | Cloud

Moving to SAP S/4HANA Cloud Public Edition is not simply a technical migration. It changes how processes are designed, how teams collaborate, and how you think about standardization, Clean Core, and extensions. The good news: you do not have to figure this out alone.

Our new white paper is built around what matters most in practice: lessons learned from real customer projects. It captures what worked, what caused friction, and what project teams would do differently next time. If you download it, you will get first-hand insights into how SAP Cloud ERP is actually used in day-to-day operations, not just theory.

Why xSuite can share these insights

xSuite has been close to SAP Cloud ERP projects from early on, because we built capabilities specifically for this environment. We were among the first vendors to deliver an SAP-certified AP workflow on SAP Business Technology Platform (SAP BTP), tailored to the needs of SAP S/4HANA Cloud Public Edition customers.

That matters because SAP Cloud ERP requires a different approach than classic on-prem implementations: standardized core processes, clean extension patterns, and BTP-based workflows and integrations. Being present in these early customer projects gives us direct visibility into what actually happens in implementation and daily operations, and what best practices make a measurable difference.

The three customer types we see in SAP Cloud ERP adoption

Across projects, we repeatedly see three customer archetypes, each with distinct drivers and starting points:

  • Satellites: Subsidiaries or regional entities that need speed and standardization, often adopting SAP Cloud ERP to reduce local complexity and IT effort while staying aligned with corporate governance.
  • Newbies: Organizations new to SAP that choose the public cloud to start with best practices and rapid time-to-value, without inheriting legacy customization.
  • The Brave: SAP-experienced companies moving directly from SAP ECC into the public cloud. They aim to avoid a multi-step transformation, but need strong alignment on fit-to-standard and process redesign.

Different profiles, same core lesson: SAP Cloud ERP delivers value when you embrace the public cloud mindset, rather than trying to rebuild legacy processes.

Why first-hand project insights matter

Public cloud projects often move fast, and early decisions can have long-term consequences. What sounds straightforward in presentations can become complex once you hit real topics like authorization concepts, standardized processes, integrations, and exception handling, e.g. in Accounts Payable.

That is why the white paper focuses on learnings from customer implementations, so you can:

  • anticipate common pitfalls before they slow you down
  • align expectations early between finance and IT
  • understand what successful teams did to secure adoption
  • see how Clean Core principles and automation work together in practice

Why AP invoice processing is often the best starting point

Across customer projects, invoice processing consistently stands out as a strong first use case. It is repetitive, measurable, and compliance-driven. Done right, AP automation becomes an early success that builds confidence for broader transformation steps.

The white paper explains, based on project experience, how to set up AP processes in a way that fits SAP’s public cloud model and supports Clean Core, using SAP BTP-based workflow and integration patterns.
